Terms of Service

These Terms govern your use of GospelNote. By creating an account or otherwise using the service, you agree to them. Please read carefully.

1. What GospelNote does

GospelNote is a coordination platform for ministry speaking engagements. Ministers (speakers) and churches/ministries (inviters) use it to issue invitations, document an agreement on requirements, manage logistics, and keep a record of past engagements. We are a coordination service. We are not a booking agency, an employer, an escrow service, or a guarantor of any speaking engagement.

2. Eligibility

You must be at least 18 years old and able to enter a binding contract. By using GospelNote, you represent that you are doing so on your own behalf, or on behalf of a church/ministry, or other organisation you have authority to bind.

3. Your account

You are responsible for keeping your sign-in credentials private, for everything that happens through your account, and for the accuracy of the information you put on your profile. If you suspect your account has been compromised, contact us at support@gospelnote.com.

4. Engagements

Each engagement on GospelNote moves through a defined sequence:

  • Pending — an inviter has issued an invitation; the speaker has not yet responded.
  • Approved — the speaker has accepted the invitation and submitted requirements (honorarium, travel, lodging, hospitality).
  • Confirmed — the inviter has approved the submitted requirements; the engagement is sealed.
  • Completed — the event date has passed and the engagement is part of the historical record.

Either party may decline or cancel before the engagement is confirmed. After confirmation, cancellation should be discussed between the parties; GospelNote does not unilaterally void a confirmed engagement.

5. Pricing & billing

GospelNote charges both sides of an engagement at the moment of commitment:

  • Speakers pay when they submit their requirements. The first engagement on a speaker account is free. Thereafter: $15 per engagement, or $10/month, or $99/year (an active subscription waives the per-engagement charge for that side). Local-currency pricing applies in Canada and the United Kingdom.
  • Churches/ministries and organisations pay when they accept a speaker’s submitted requirements. The first engagement on an organisation account is free. Thereafter: $20 per engagement, or $15/month, or $150/year. Local-currency pricing applies in Canada and the United Kingdom.

Payment is processed by Stripe. We never see or store full payment card numbers. Subscriptions automatically renew at the end of each period unless you cancel through the billing portal. You can cancel any time; access continues through the end of the period you have already paid for.

Africa. During our launch phase, GospelNote is free for users on the African continent. Country is detected from the network. This is not a discount; it is a deliberate commitment to the church/ministry our name draws from. If we eventually introduce paid tiers in Africa, we will notify users in advance and prices will be set in local currency.

6. Refunds

Per-engagement charges become non-refundable once the counterparty has been notified of the commitment — that is, once the speaker has submitted requirements (in the case of a speaker-side charge) or the inviter has accepted them (in the case of an inviter-side charge). Subscriptions are non-refundable for the period in which they were charged but are not auto-renewed if you cancel.

Refunds outside this policy are at our discretion. We may issue them for clear billing errors or undisputed duplicate charges.

7. Honorarium money is not handled by GospelNote

GospelNote documents the honorarium agreement between speaker and church/ministry but does not move honorarium money. The platform does not act as escrow, paymaster, or 1099 issuer for the honorarium itself. Churches/ministries pay ministers directly, by whatever method the parties agree on (cheque, ACH, wire, mobile money, etc.). Disputes over honorarium delivery are between the parties.

8. Acceptable use

Your use of GospelNote is also governed by our Acceptable Use Policy. Violations may result in account suspension or termination at our discretion.

9. Your content

You retain ownership of the content you submit to GospelNote (profile copy, photos, requirements, messages, etc.). You grant us a non-exclusive, worldwide licence to host, display, and transmit that content for the purpose of operating the service. You also grant other parties to an engagement the necessary access to view the content directly relevant to that engagement. You represent that you have the rights to the content you submit and that it does not violate the rights of third parties.

10. No warranty; no guarantee

GospelNote is provided “as is” and “as available.” We do not guarantee that any speaker will be invited, that any inviter will receive a speaker, that the platform will be uninterrupted or error-free, or that any party to an engagement will conduct themselves as agreed. To the maximum extent permitted by law we disclaim all implied warranties, including merchantability, fitness for a particular purpose, and non-infringement.

11. Limitation of liability

To the maximum extent permitted by law, GospelNote’s aggregate liability for any claim arising out of or related to the service is limited to the greater of (a) the total fees you have paid to GospelNote in the twelve months immediately preceding the claim, or (b) one hundred US dollars. We are not liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, lost revenue, or loss of data, even if advised of the possibility.

12. Indemnification

You agree to indemnify and hold GospelNote and its officers, employees, and agents harmless from any claim arising out of your breach of these Terms, your violation of law, or your infringement of any third-party right.

13. Termination & account deletion

You may delete your account at any time from the dashboard. Deletion is “soft” for thirty (30) days — during that window your data is hidden but recoverable on request. After the grace period your personal information is removed; engagement records are retained in aggregated, de-identified form for legal, tax, and audit purposes.

We may suspend or terminate accounts that violate these Terms or our Acceptable Use Policy, including without limitation for fraud, abuse, harassment, or non-payment.

14. Governing law & dispute resolution

These Terms are governed by the laws of the State of Georgia, USA, without regard to conflict-of-laws principles. The parties agree to attempt informal resolution of any dispute by emailing support@gospelnote.com before commencing any formal action. Any unresolved dispute will be brought exclusively in the state or federal courts located in Fulton County, Georgia, and you consent to personal jurisdiction there.

15. Changes

We may update these Terms. If a change is material we will notify registered users by email at least fourteen (14) days before it takes effect. Continued use of GospelNote after the effective date constitutes acceptance of the updated Terms.
